Development Data Specialist

Supervisor: Director of Development and Outreach
FLSA: Non-Exempt
Pay: $20-24/hour; paid every other week

General Description:

The purpose of this position is to provide professional administrative support that will assist the Development/Fundraising function. This is a full-time position – 40 hours per week. Evening and weekend hours, as required. Seasonally, during peak donation periods, additional hours may be required and/or available.

    Primary Responsibilities

     

    Primary Functions:

    Serves as Database Administrator for Blackbaud and Blackbaud Raiser’s Edge (DMARC’s donor management program) responsible for its overall management and use and update of software modules training, and technical support.  (Approximately 30%)

    Responsible for:

    Maintaining and developing standard operating procedures.

    The continued management of the donor database, including: removal and merging of duplicate records, making necessary change-of-address updates, conducting routine database maintenance, and table management.

    Conducting data reviews to ensure best practices are being followed and ensuring timely and accurate processing of gifts and their coding, entry, and any pertinent record-keeping.

    Using Omatic software to import and export data to and from the donor database from other organizational databases.

    Serving as the lead learning officer at DMARC for Blackbaud, making appropriate recommendations for new staff onboarding and continued learning for existing staff.

    Develop queries, reports, and dashboards for use by the Development Department team that analyze donation and donor trends and patterns, such as new or lapsed donors, donor retention, donor frequency, average gift amount, and levels of giving. Dashboards should reflect organizational goals.  (Approximately 25%)

    Provide campaign, appeal, and mailing list support including but not limited to:

    Generation of segmented lists for direct appeals, campaigns, online messaging, and other outreach as needed

    Development and generation of internal reports related to annual appeals, campaigns, and pledge status, special events, and other fundraising activities

    Ad-hoc analysis to support management and/or board reporting on appeal and campaign performance. (Approximately 25%)

    Serve as the lead support to the Development team, providing clerical assistance, answering donor questions, and coordinating/entering meeting notes in donor records. (Approximately 10%)

    Provide Grant Management process support as it relates to the donor database and related functionality, ensuring that grant applications are maintained and tracked within Blackbaud. (Approximately 5%)

    Other general office duties as assigned, including a focus on customer service by answering phones and assisting walk-in visitors/donors, managing office development volunteers, cross-training, etc. (Approximately 5%)

    Skills and Qualifications:

    Database Maintenance and Management:

    High level of competence with Microsoft Excel and/or Access.

    Experience in donor database system(s); Raiser’s Edge training and experience preferred.

    Detail-oriented, pursues quality in accomplishing tasks by being aware of data nuances easily overlooked.

    Problem solving and big picture thinking.

    Computer

    Education and Experience

    Experience in a professional administrative support position in a fast-paced nonprofit environment.

    Experience within a nonprofit agency preferred; human services focus a plus.

    Bachelor’s degree preferred, however a minimum of 2-year college degree is required.

    Excellent written and oral communication skills.

    Ability to function well in fast-paced environment

    Ability to prioritize and complete tasks while working under multiple deadlines

    Ability to maintain strict confidentiality standards, particularly in regard to donor and gift information and records.

    Accountability and Evaluation

    This position is supervised by the Director of Development and Outreach. A job review is conducted annually.

Database Coordinator

Supervisor: CEO
FLSA: Non-Exempt; full-time
Pay: $24-26/hour; paid every other week
Location: Des Moines, IA (in-person)

General Description:

The purpose of this position is to manage and maintain the database systems used for food pantry network visitor intake and inventory management. This includes managing, analyzing, and sharing reports from both systems with network partners, other DMARC staff members, and the community at large.

    Essential Functions:

    Management of the Food Pantry Network (FPN) intake system/database

    Updated training and user instructions for FPN representatives (trainers).

    Upkeep and oversight of intake system logins, maximum(s), and allocations.

    Primary contact between database provider(s) and DMARC for any updates, issues, maintenance, etc.

    Management of warehouse inventory reporting system

    Run monthly inventory report and process report for the accountant.

    Run monthly distribution report, extract needed information to be combined with Development departments Gift-in-Kind (GIK) report for the accountant.

    Process monthly information reported by FPN.

    Provide inventory reports and data for FPN, CEO, DMARC Board, Development staff to support grants, fund raising efforts, and budgeting purposes.

     

    Data Analytics

    Collection and reporting of network data, integrating data across multiple platforms, and ensuring FPN data compliance.

    Maintenance and updates of needed FPN/inventory daily, weekly, monthly, and yearly reports.

    Maintenance of DMARC data dashboard, and ongoing work with dashboard developer on any needed updates.

    Preparation and presentation of information utilizing FPN/inventory data, and other relevant sources, to groups, organizations, individuals, etc., to increase awareness and promote DMARC interests and mission.

    Closely work with development department to provide operational/program information for reporting purposes, and maintain records of previous grant/data requests.

    Work within intake system reporting capabilities to create and maintain ongoing needed data and reports.

    Completion data related tasks as needed by DMARC staff, as well as community members, seeking reasonable FPN data and information.

    Other duties as assigned.

     

    General Requirements:

    Bachelor’s Degree and/or 3-5 years of related experience, or equivalent combination of training, education, and/or experience.

    Previous experience working with data visualization, multiple databases, reporting/presentation tools, and/or spreadsheets preferred.

    Previous experience with project management preferred.

    Public speaking and public presentation skill preferred.

    Demonstrated ability to work well with other team members and a variety of volunteers.

    Previous experience working full-time in an office setting preferred.
